TLC Collegiate Privacy Policy

Effective date: October 20, 2026

TLC Collegiate respects the privacy of students, families, and website visitors. This policy explains how we handle personal information through our website, enrollment process, and Moodle learning platform.

Information we collect

We collect information needed to respond to inquiries, register students, deliver courses, and administer school operations. This may include names, contact details, dates of birth, parent or guardian information, relevant academic records, and payment or billing information.

Our learning platform also records submitted work, grades, teacher feedback, communications, login activity, and course participation. Technical information may include IP addresses, browser details, and cookies used to operate the website.

How we use information

We use personal information to provide instruction and support, assess student progress, communicate with students and families, administer accounts and payments, maintain required records, protect our systems, and meet applicable legal and Ministry reporting or inspection requirements.

We limit collection to information reasonably needed for these purposes.

Consent and student privacy

We obtain consent where required and explain any new uses of personal information. For students who cannot provide meaningful consent, we seek consent from a parent or legal guardian. We consider students’ age, maturity, and applicable rights when handling their information.

Consent for optional promotional uses, such as publishing identifiable student photographs or testimonials, is requested separately. You may contact us to withdraw consent, subject to legal or contractual restrictions. We will explain any effect this may have on our ability to provide services.

When we share information

We do not sell personal information. Access is limited to authorized staff and service providers who need it for their responsibilities.

We may share relevant information with a student’s primary school or another authorized educational institution to coordinate records and course results, with appropriate consent or other lawful authority. Information may also be disclosed to Ministry officials, inspectors, or other authorities when legally permitted or required.

We use technology providers to support services such as learning-platform hosting and communications. Depending on the provider, information may be processed outside Canada and be subject to the laws of that jurisdiction. Contact us for details about our current providers and processing locations.

Cookies and external services

Our website and Moodle platform use cookies needed for functions such as signing in and maintaining a session. Blocking these cookies may prevent parts of the platform from working.

Linked websites and external learning tools may have their own privacy policies. We will provide additional notice and obtain consent where required before introducing optional tracking or new uses of personal information.

Security and retention

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No online system can guarantee complete security.

We retain information only as long as needed for the purposes described above and applicable educational, legal, and recordkeeping requirements. Information no longer required is securely destroyed or anonymized.

Access, corrections, and concerns

You may request access to your personal information, ask for corrections, or raise a privacy concern by contacting the Director. We may verify your identity and authority before responding. Access is subject to applicable legal exceptions and the privacy rights of others.
